If you live in a region where there is inclement weather throughout a portion of the year, being able to switch things up so you can meet virtually as needed can be highly beneficial for client retention.

Flexible Scheduling: Virtual consultations allow for more flexibility in scheduling, accommodating clients with busy lifestyles.

Global Reach: Practitioners can connect with clients worldwide, expanding their reach and impact. Offering virtual consults means more people can work with you, because they’re not tied down by location, or by the amount of distance they would need to travel to get to you. When your client base no longer needs to be local, it means you have far more opportunities at your fingertips.

Record Keeping: Generally speaking, digital platforms can help to facilitate easy record keeping, enabling both practitioners and clients to better track details from your consultations and track any progress updates along the way. It also can make it easier for clients to revisit their protocol and recommendations any time they need, as everything can be digital and accessed through their smartphone.

Tips for Successful Virtual Holistic Nutrition Coaching

If you’re a practitioner looking to effectively conduct virtual consultations, consider the following:

Streamline your Process with the Right Tech: Choose a secure, user-friendly platform to host your virtual consultations with. Video conferencing tools like Zoom, Skype, or other specific Telehealth platforms each offer their own unique features, such as screen sharing and document sharing, so be sure to take some time to compare. Choose the conferencing software that provides the best features for your unique practice and clients, and know that as your practice evolves over time, you can always make changes to the technology you use.

Establish Clear Communication: Set expectations with your clients regarding the platform you use, scheduling, and any pre-session preparations they need to take before the call (For example, you may wish to have them email you a copy of their completed Holistic Wellness Questionnaire before the call). Provide clear, simple instructions on how they can access the virtual consultation, and show up prepared for their appointment.

Create a Professional Setting: Ensure that your surroundings are well-lit, quiet, and free from distractions. A clutter-free background enhances professionalism and minimizes distractions, but may not always be attainable depending on where you work. If this is the case, consider a platform like Zoom, which has the option to either blur your background or to add a different background using their “green screen” feature. Then, you can simply upload a stock photo of a clean wall or background, and it will appear to be your space. Also, note that virtual consultations do not have to be done via video at all! They can be set up via phone, or through another digital voice messaging app like Voxer or Signal.

This allows you time to review their information, do any research you might need before the call, and tailor both the questions you ask during the call, as well as your recommendations accordingly. We suggest making your pre-session preparation steps clear and direct, keeping them somewhere on your website, or having them emailed directly to your client automatically when they invest in your coaching. This way, appointments are not missed or being rescheduled over a miscommunication or misunderstanding. Visuals can enhance their understanding and engagement when it comes to creating lasting change with their health and lifestyle. For voice conferencing, you can simply email it directly to them and have them open it while they talk to you on speakerphone. This way, they get to keep a copy of it that they can refer back to. Find what works best for both you and your clients, and allow your unique process to evolve with your practice over time.

Document Sharing: Along with visual aids, you will likely also wish to share other relevant documents, such as meal plans, recipes, or educational materials, during or immediately following the session. This supports clients in implementing your recommendations. Typically, you can have your initial consultation, where you ask further questions and gather more information while reviewing their questionnaire with them, then after the call, you can take some time to put together your suggested protocol. From here, you can send the protocol directly to your clients, and you can offer them a quick 20-minute protocol delivery appointment, where they open the document on the phone or video conference with you, and you explain your reasoning for everything you’ve listed. Clients will always value the time you take to help them understand the protocol itself. There’s a big difference between sending a to-do list to a client that they may not fully understand, and actually educating them on their protocol so they can connect the lifestyle changes they’re making with a specific “why” behind it.

Goal Setting: Collaboratively set realistic and achievable goals with your clients. Instead of reading their questionnaire and making an assumption on what their goal should be from your eyes, go back to active listening and figure out what it is that THEY want. Once your clients’ goals are clear, it becomes much easier to outline your suggested action steps for them, and to provide direct guidance on how they can track their progress.

Cultivate Engagement: Encourage clients to actively participate in the session by asking questions, sharing their experiences, and expressing their thoughts.
